Green Event Ninjas (the operating name of Green Meeting Ninjas Inc., Barrie, Ontario, Canada) runs this website. This policy explains what personal information we collect through the site, how we use it, who we share it with, and the choices you have. It applies to visitors, prospective clients who ask for a quote, and people who apply for seasonal work with us.
What we collect and why
Quote and contact requests. When you use a contact or quote form, we collect the details you enter: name, email address, and anything you tell us about your event (for example the event name, dates, location, expected attendance and the services you are interested in). We use this to reply to you, prepare a quote and manage our working relationship if you become a client. These records are kept in our customer relationship management system.
Job applications and staffing forms. When you apply for a position or complete a staffing form (applications, availability and shift preference surveys, employee resources), we collect the information you provide: name, contact details, availability, work eligibility details and any documents or answers the form asks for. We use it to assess your application, schedule and manage seasonal work, and meet our obligations as an employer. Application records are kept in our staffing systems.
Newsletter sign-up. If you subscribe to our newsletter, we collect your name and email address to send it. Every email includes an unsubscribe link.
Analytics. We use Google Analytics to understand how the site is used (pages visited, approximate location, device type, how you arrived at the site). Google Analytics uses cookies and similar identifiers. You can opt out with Google’s browser add-on at tools.google.com/dlpage/gaoptout.
Advertising measurement. We use the Meta (Facebook) Pixel to measure the results of our advertising on Facebook and Instagram and to show our ads to people who have visited this site. You can control how Meta uses this data in your Facebook and Instagram ad settings.
Spam protection. Our forms are protected by Google reCAPTCHA, which is subject to the Google Privacy Policy and Terms of Service.
Server logs. Like most websites, our hosting provider records technical information such as IP address, browser type and the pages requested, which we use for security and to keep the site running.
Cookies
Cookies are small files stored by your browser. This site uses cookies for the analytics and advertising measurement described above and for basic site functions. You can block or delete cookies in your browser settings; some site features may then work less well.
Who we share information with
We do not sell personal information. We share it only with service providers who process it on our behalf: our website host, form and customer relationship management providers, staffing and payroll systems for people we hire, our email newsletter provider, Google (analytics and reCAPTCHA) and Meta (advertising measurement). Some of these providers store data in the United States. We may also disclose information where the law requires it.
If you are hired for an event, the information needed to run that event (for example your name and shift assignments) may be shared with the event organizer or venue as required for access and safety.
How long we keep information
We keep personal information for as long as reasonably necessary for the purpose it was collected, and for any longer period the law requires (for example, employment and accounting records). Job applications are kept so we can consider past applicants for future seasons, unless you ask us to delete them sooner. Analytics data is retained according to Google’s settings, which we set to the shortest available period.
Your choices and rights
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it, subject to our legal obligations. You can unsubscribe from the newsletter at any time and you can withdraw consent for optional processing. To make a request, email hello@greeneventninjas.com. Residents of Canada may also complain to the Office of the Privacy Commissioner of Canada; residents of other jurisdictions may have similar rights under local law.
Security
We protect personal information with access controls, encrypted connections to the site (HTTPS) and reputable service providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Children
This site and our services are intended for adults. Applicants must meet the minimum age for the position and jurisdiction stated in each job posting.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
